Phoebe now handles the full scheduling loop: finding the right caregiver, detecting open shifts, assigning the first qualified yes, notifying the client, and answering inbound calls — all without the coordinator having to do the manual work themselves.
And soon, all of it from inside your EHR, your Slack and Teams chat, and even over SMS.

Phoebe Lives in Your EHR

Phoebe now lives in your browser - available in your EHR, your email, and any other site you use. No new tab, no context switching.
- Phoebe sidebar inside your EHR: create and monitor outreaches, message back caregivers, approve assignments, and complete Assign and Fill inline!
- Desktop notifications: when a caregiver accepts, declines, or messages back. Click to jump straight to the action. Works even when the Phoebe tab isn't open. No more missed yeses!

Phoebe Gets to Work the Moment a Shift Opens
When a shift opens up or you have a gap in your scheduler’s, the Phoebe agent now:
- Pulls the client profile, care plan, and rules on how your agency operates
- Ranks every qualified caregiver by distance, availability, past visits, schedule fit, and more
- Searches its memory of every past interaction - who picks up, who prefers texts, who's reliable with this client, who's been declining and why
- Presents a shortlist with per-caregiver reasoning for your approval
Most importantly - the agent is now entirely coachable. You and your team can provide feedback in real time to teach Phoebe your SOPs, criteria, and way of working. Phoebe now monitors for open and declined shifts and creates new outreach to fill the shift in the background.
Related shifts from the same office or client are grouped into multi-shift outreaches automatically, so your caregivers don't get exhausted with too much communication.
Phoebe Memory
Your EHR is alway out of date. No one has time to update it - even when they do, so much of the important context is forced to live in your schedulers heads. Phoebe captures all of this, and now, it uses it to schedule for you
As Phoebe works, you’ll see the details that it has learned from real conversations with your workforce:
- Dave accepted 2 of 6 offers.
- Recently declining - citing broken car.
- Texted asking for shifts next week while his main client is on vacation
- Recently decided they'll only work in the Riverside area during daylight hours.
As you let the agent work and give it feedback, it learns, updates its memory about caregivers, clients, and how your particular agency runs.
Phoebe Calls the Client
When a shift is filled through Assign & Fill, Phoebe can now call the client to let them know a new caregiver has been assigned.
Each shift has its own toggle for full control over which clients get notified and when.
Phoebe Handles Incoming Phone Calls
Phoebe now handles inbound calls from caregivers. When a caregiver calls in about a shift, Phoebe has the conversation, captures availability, and can route transfers to the correct office based on the caregiver's location.
