Client Notifications, Care Plan Editing, and a Whole Lot More

We have a packed update! We've got client notifications, care plan editing, and a bunch of quality-of-life improvements across outreach and auto-assign. Let's get into it.

Phoebe Works on Your Phone

We've made a bunch of improvements to how Phoebe looks and works on mobile devices. Navigating between pages, reviewing outreach details, and managing shifts all feel a lot smoother on smaller screens now. Viewing and responding to caregiver messages is also way easier on the go, so your team can stay on top of conversations without needing to be at a desk.

Client Notifications

Phoebe can now notify your clients when a caregiver has been assigned to a shift that was filled through Phoebe. When a shift is filled, Phoebe will reach out to the client via phone call using your organization's default phone number, which you can update at the org level.

If a different point of contact should be alerted instead of the client directly, you can add secondary contacts to the Client record in Phoebe.

Phoebe will always respect your organization's quiet hours, so no need to worry about a client getting a call at 1am. The only exception is when a caregiver is assigned after quiet hours begin and the shift starts before quiet hours end. In that case, Phoebe will call the client 30 minutes before the shift starts.

You can also update individual Client records to "Never Notify" if you have certain clients you'd prefer to handle on your own.

Care Plan Summaries

Client-specific care plan summaries are now customizable on the Client record in Phoebe. Phoebe generates a care plan summary based on the information pulled from your EHR, but you now have the ability to modify it at the client level. This is the summary that gets presented to caregivers when Phoebe is discussing open shifts.

Voice summaries and SMS bullet points are also editable at the outreach level for shift-specific situations (more on that below).

Outreach Improvements

Add Additional Outreach Steps You can now add additional SMS or Voice steps to an outreach that's already in progress. This lets you make another contact attempt to caregivers who haven't responded to the initial steps. Just click the + sign next to the Steps at the top of the outreach page.

Edit Care Plan Summaries Per Outreach You can now edit the Voice summary and SMS bullet points when creating an outreach. Select the Care Plan button at the top of the outreach details page to make your edits. This is helpful when a care plan hasn't been entered in the EHR yet but you need to staff shifts right away, or when there are shift-specific details that should be shared with caregivers.

Auto-Drafting Outreach Phoebe can now automatically draft outreach for open shifts. When auto-draft is enabled, new open shifts are picked up and grouped according to your organization's rules and preferences. You'll see an "Auto-drafted" badge on these outreaches, and they'll be placed into Pending status so your team can review before anything goes out.

Auto-Assign Improvements

Auto-assign now works on a per-shift and per-group basis, giving you more control over which shifts get a first responder. You can set org-level and outreach-level defaults for the first responder auto-assign preference, and you can edit the auto-assign setting even after an outreach has already started.

Activity Logs

You'll now find activity logs on Client, Caregiver, Shift, and Outreach records. This gives your team a clear history of who took action or made changes and when. Great for accountability and staying on the same page across your scheduling team.
